Conference terms & conditions

1. Acceptance of Terms

By registering for and/or attending the Conference, you agree to be bound by these Terms and Conditions. If you do not agree, you should not register for or attend the Conference.

2. Registration and Booking

2.1 All registrations must be completed accurately and in full.

2.2 The Association reserves the right to refuse or cancel a registration at its discretion, including where these Terms and Conditions are breached.

2.3 Registrations are non-transferable unless prior written permission is given by the Association.

3. Payment

3.1 Conference fees must be paid in full during registration

3.2 Access to the Conference (including sessions, materials, and catering) may be withheld if payment has not been received.

3.3 All prices are stated in GBP and include VAT where applicable, unless otherwise stated.

4. Cancellations and Refunds

4.1 Cancellation requests must be made in writing.

4.2 Refunds (where applicable) will be issued in line with the cancellation policy.

4.3 The Association reserves the right to retain an administration fee for cancellations.

4.4 No refunds will be issued for non-attendance without prior cancellation.

5. Changes to the Conference

5.1 The Association reserves the right to amend the Conference programme, speakers, timings, or venue where necessary.

5.2 If the Conference is postponed, rescheduled, or cancelled due to circumstances beyond the Association’s control, liability will be limited to the refund of fees paid (excluding travel or accommodation costs).

6. Health, Safety, and Security

6.1 Attendees must comply with all health and safety instructions provided by the Association or venue staff.

6.2 Attendees are responsible for their own personal safety and belongings.

6.3 The Association accepts no liability for loss, theft, or damage to personal property.

7. Accessibility and Special Requirements

7.1 The Association will make reasonable efforts to accommodate accessibility needs and dietary requirements where notified in advance.

7.2 Requests must be submitted by the stated deadline and cannot be guaranteed if received late.

8. Photography, Audio, and Video Recording

8.1 The Conference may be photographed, filmed, or recorded for promotional, educational, or archival purposes.

8.2 By attending, you consent to the use of your image, likeness, or voice in such materials unless you notify the Association in writing prior to the event.

8.3 Personal recording of sessions is not permitted without prior consent.

9. Intellectual Property

9.1 All Conference content, including presentations, materials, and recordings, remains the intellectual property of the Association or its speakers.

9.2 Materials may not be copied, distributed, or reproduced without prior written permission.

10. Data Protection

10.1 Personal data will be processed in accordance with the Association’s Privacy Policy and UK data protection legislation.

10.2 Delegate information will be used solely for Conference administration and related communications unless otherwise agreed.

11. Liability

11.1 The Association shall not be liable for any indirect or consequential loss arising from attendance at the Conference.

11.2 Nothing in these Terms limits liability for death or personal injury caused by negligence or for fraud.

12. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
